Choose, Download and Update Reports
Choose a version for emails or exports, download reports, and update them after production records change.
Goal
Choose the version of your email reports or an export, download the report you need, and update it after production records change.
Before You Begin
You can choose your own email version in your profile. If you receive the introduction email, you can confirm a choice through it without signing in. Exports require access to Timeline Analysis and the relevant machines.
Only Administrators can open Report archive. Other users do not see it. Open Reports in the side menu. At the top of Timeline Analysis or Trend Analysis, select the archive button with the tooltip Report archive next to the Timeline / Trend switch.
Preconditions
- To receive email reports, enable the weekly or monthly newsletter subscription in your profile.
- To download an existing report, it must have been requested or scheduled. You can also create an export from Timeline Analysis.
- You know which machines and period you want to review.
- To review production without operation intervals, use Version 2. Your company must have recorded at least 5 intervals of real operations in the report period, excluding test orders. Work centers are excluded from this measure. Reviewing intervals also requires access to the machine.
Steps
Choose Your Email Version in Your Profile
Compare the versions
Open your profile → Newsletter Preferences card → Newsletter report version. Select Version 1 or Version 2 and read What you get. Use Download an example to compare made-up data.
Save your preference
Keep the weekly and monthly subscriptions you want enabled. Choose Save Preferences at the top right of the card header and wait for saving to finish. Both subscriptions use the selected version from the next report. Repeat these steps whenever you want to switch back.
Choose from the Introduction Email
Review both reports
You may receive an email titled “A new version of your machine report is available”. Open its two Version 2 attachments: last week's report first, then last month's. Both use your own machines and figures and are in your language. The email names the week and the month.
Open your choice
Choose Get the new version (Version 2) or Keep my current report (Version 1). The Newsletter report version page opens without requiring sign-in. Opening it alone does not change your preference.
Confirm on the page
Select Get the new version (Version 2) or Keep my current report (Version 1), as shown for your choice. The page then shows Done. From the next report on, you get the new version (Version 2). or Done. You keep getting your current report (Version 1). Use Open my profile to change your choice later; sign in if asked.
Create an Export in Either Version
Choose machines and dates
Open Timeline Analysis through Reports in the side menu. Choose your machines and period, then Generate report → Download Report (XLSX).
Choose the report version
Under Report version, your latest saved email preference is selected. Choose Version 1 or Version 2. Read What you get or select Download an example before starting. Exports include work in the period, without planned work for the next 7 days.
Create and download
Select Generate report and follow the displayed progress until you can download the workbook. The export choice leaves your email preference unchanged. If creation takes longer, Administrators can return through Report archive; other users should try the export again later.
Download or Update an Existing Report
Find the report
Open Reports in the side menu. At the top of Timeline Analysis or Trend Analysis, select the archive button with the tooltip Report archive next to the Timeline / Trend switch. Choose the machine, source, and period. Use Any time, All machines, or All sources if the result list is empty.
Check whether it is ready
Queued and Building mean the report is not ready yet. Return later if creation takes longer than usual. Look for Ready before downloading.
Update it if production records changed
Select Rebuild with current data if you need a report based on the current records. Wait while it is Refreshing. Read whether the report was updated or nothing changed. If updated, check Revision and the update time. Last checked is hidden when it shows the same minute as the update. If the refresh fails, the previous revision remains available.
Download and check the result
Download the available file; it always contains the latest revision. Check the machines, period, layout and revision before sharing it. Version 2 beside the period identifies the layout; Revision identifies the updated report. Point to either for an explanation. The first revision has no revision line. Rebuilding does not send already-sent emails again. Check the email count separately if you need to know whether the report was emailed.
Check Missing Order Figures
Read the explanation on the first page
Open Summary in a Version 2 report. With fewer than 5 intervals of real operations in the period, Get more out of this report with the PDA page directly below What needs attention explains why order figures are missing. The box also appears when no intervals were recorded. Test orders do not count, and intervals from earlier periods do not count towards the minimum. Up next remains available in eligible email reports.
Record the work as it happens
With access to the machine’s PDA page, start and stop the operations you actually work on and record quantities and scrap. Follow Run Data Acquisition (PDA). You cannot yet add a new interval for a past time.
Review a period with enough recorded work
Create a Version 2 export for the period you want to review, or ask an Administrator to update an existing report through Report archive → Rebuild with current data. With at least 5 intervals of real operations in that period, the report includes order figures and production without an order. Compare quantities, scrap and time per piece against the plan.
Review Production Without an Order
Find the machines to review
Open Summary → Production without an order, immediately after the key-figure tiles. This is production time during which no interval of an operation was running on the machine. Read the hours, share of production time and change from the previous week, month or period. Production without an order per machine lists hours, biggest first; the machine table shows Without order (h). A machine’s bar and table value turn orange at both 20% of its production time and 2 hours. It also appears under What needs attention and In focus. The summary card gets an orange stripe when the company total reaches both limits.
Check the longest stretches
Open the machine’s report page. Read the Production without an order card and Without order (h) in the day rows of Day by day. After that table, Longest stretches without an order lists up to five stretches, longest first, with Day, From – to and Without order (h). These count stretches of at least 5 minutes, using the same rule as Improve intervals. Check which work actually took place. With none, it says Every production hour of this machine was in an interval of an operation.
Review the recorded intervals
With access to the machine, open its detail page and choose an affected day with recorded intervals. Select Improve intervals in the timeline header. Follow review and improve intervals to compare recorded times with machine activity. Production without an order is information only. You cannot yet add a new interval for a past time. Confirm which operation the time belongs to. If it ran immediately before or after that time, extend its existing interval by adjusting the start or end to match the work. If no such interval exists, you cannot add the missing interval yet. After corrections, Administrators can update the report through Report archive → Rebuild with current data.
Review Work Centers in a Report
Find the separate work-center section
Open Summary → Work centers, after the machine table. Compare Work center, Operations, Completed, Orders, Production in intervals (h), Preparation (h) when there was preparation, Produced and Scrap. Below the five-interval minimum for the report, the row shows PDA page barely used in this period. Once the minimum is met, a work center without operations shows No operation intervals in this period. Click its name to open its page.
Review a work center’s operations
The page has a purple tab and the same work-center icon as on the platform. Its subtitle shows work center, hall and period. A work center has no sensor, so the report shows no OEE, availability, performance, machine states or cycles for it anywhere. It is excluded from machine figures and production without an order.
Read Operations worked on with the completed count, Orders worked on, Production time in intervals with preparation hours when present, and Produced with scrap when recorded. Check Operations on this work center below. These hours come from operation intervals, not sensor measurements. Below the report’s five-interval minimum, the page shows PDA page barely used in this period. Once the minimum is met, a page without operations shows This work center has no operation intervals in this period.
Decision Points
- Choose Version 1 for the familiar workbook or Version 2 for findings, targets, shifts and additional production details.
- Save in your profile for future emails, or choose in the export dialog for one download only.
- Download the existing report, or rebuild it to include corrected production records.
- Narrow the search to Scheduled or By user, or include both with All sources.
- Review missing intervals on machine pages; review work-center operations on their separate pages.
- If order figures are absent, check the first-page explanation and the five-interval minimum before interpreting the missing values.
- Extend an existing interval only when the missing time belongs to the operation immediately before or after it.
Expected Result
Your saved preference controls future weekly and monthly emails. An export uses the version chosen for that download.
You have the available report for the selected machines and period. After a successful rebuild, you know whether its contents changed.
You can identify production whose intervals need review and check work-center operations separately from machine figures.
Common Problems and Edge Cases
- Email choice links are personal and expire after 60 days. An expired link shows This link has expired. You can choose the version in your profile. Select Open my profile, sign in, and choose the version there. Use your profile for invalid or incomplete links too.
- An unchanged newsletter preference: select Save Preferences at the top right of the card header after choosing a tab.
- Missing planned work in an export: exports have no Up next sheet. Use a recent weekly or monthly Version 2 report for that outlook.
- No reports found.: broaden the machine, source, or period filters.
- No files available: there is no file to download; check the report status.
- Failed: creation did not complete successfully. If an action fails, try again.
- A failed refresh keeps the previous revision available. Check its revision and update time, if shown, before using it.
- Not emailed describes email delivery, not whether the report is ready.
- A missing Production without an order section does not mean every production hour was covered by an interval. It is absent when your company recorded fewer than 5 intervals of real operations in the report period, excluding test orders. Work centers are never included.
- Test orders are excluded from lists and counts, including Up next, but their intervals still cover machine time for production without an order. See test orders.
- If Improve intervals is missing, choose a day with recorded intervals. You cannot yet create a new interval for a past time.
